Amita UK Limited is committed to ensuring your privacy is safe guarded and we only collect and keep details that aid the functioning of the business and our ability to provide our services to you.
We operate a Quality Management system that covers all aspects of the business. We also have procedures in place to ensure we follow the GDPR guidelines as applicable to our business all of which are available for you to review as our customer should you wish.
We will collect basic contact information such as name, address and contact details (email address, telephone number) to enable us to communicate with you. This may be online, in person or over the telephone. We may also need this information to perform any legal or credit checks as required by our procedures and to enable our services to be supplied and our accounts department to communicate effectively.
As a customer we will keep this data and will update it as and when you inform us of any changes. If you no longer require our services we will retain information pertaining to our historic records. For example, jobs we have completed for you will contain a contact name, email address and telephone number that were correct at the time. Invoices we have sent or received from you will contain contact details together with any legal requirements such as VAT or company registration information.
We will also retain contact details for marketing purposes. We may send you communications regarding our products or services as we feel they may be of interest and applicable. If you do not wish to receive any communication from us, you can simply request that we remove your details from our database.
As part of our Quality Management system we periodically review the data that we store and dispose of any historical data that we hold that is no longer required. This is both electronic and physical copies. This process happens at least once a year and in many cases, or from individual requests, happens more frequently.
We undertake many projects that involve IT infrastructure and software development. As part of the process of successful planning and design for these projects we will ask you of any impact the project may have with regards data privacy and specifically GDPR. You will therefore be asked as a normal part of our Quality Management system to ensure that we and you (or your organisation) understand the risk (if any) involved and can act accordingly.
We do not pass your information on to any third parties except as required by law or in the normal conduct of day to day to business (to enable a delivery for take place for example). If we use any third party as a part of our services to you, we will check that they have satisfactory policies and procedures in place that deliver in line with our own quality management policies.
We ensure our systems use the most appropriate platforms. This means we do not use any legacy systems or platforms that are unsupported from the manufacturer. We maintain our systems in line with industry recommendations ensuring that all our systems are patched and updated on a regular basis. We have also passed the Cyber Essentials standard showing our commitment to cyber security and helping keep our systems safe from intrusion.
